Meeting called to order at 7:00 PM by Heather Hamashima – President

 

Quorum present - A quorum of the club shall consist of six (6) Board members, with at least three (3) of them being elected officers. Sign-In sheet attached.

 

Approval of Minutes

•       Minutes from September 8, 2008 approved with a correction to page 3.  The correction should read: Encouraging kids to have good sportsmanship.  Each month the club will announce a team for the award and recognition.

 

President’s Report – Heather Hamashima

•       Federal Way Association, United and Mod had a joint meeting on October 1, 2008.  Items discussed – updating the calendar, parent action committee, raffle to generate funds for teams.  No retreat in December. All three boards will meet every 3 months.  

•       Working on better communication with parents.

•       Season ended on Saturday, 11/8/08.

•       A BU10 team withdrew from the age bracket.

 

Vice President’s Report – Cory Zimmer

•       9 coaches and 12 players attended the coaches clinic held in October.

•       Will meet with Rob Walker to discuss spring league.

•       Will have games and referees for the spring league.

•       Eric Poortvliet will work on a monkey survey that will be emailed to parents for input about mod spring league.

•       Current U10 players will participate in mod spring league.

 

Secretary’s Report – Yvette Gregg, not present

•       Told Heather Hamashima that she is resigning effective after the December 2008 meeting.  

 

Treasury Report – Sandy Bjork

•       Presented treasurer report.

•       Not all fundraiser money has been turned in.

•       Received a bill from pro-time sports for the scrimmage vest that were ordered.

•       3 NSF checks returned from the bank

•       $12,800 collected for 2008 spring registration.

 

Boys Registrar Report – Novella Fraser

•       No report

 

Girls Registrar Report – Michelle Magruder

•       No report

 

2nd V.P. of Administration Report – Cory Zimmer

•       Spoke to several coaches about running up their scores.

•       Looking into having the same age groups train together for Fall 2009, currently 2 – U8 teams train together.

 

Referee Coordinator Report – July Simone-Johnson

•       No earrings allowed.  Parents have been arguing with referee when this is brought to their attention.

•       Remind coaches that if a referee doesn’t show or is not scheduled for the game that the coaches should be prepared to ref the game.

•       U9 & U10 games have been harder to cover.

•       Federal Way has entry level referee clinics twice a year usually Fall & Spring on Monday, Tuesday and Wednesday.

•       Starfire also have referee clinics.

 

Fields Coordinator Report – Eric Poortvliet – not present

•       Will email a report

 

Equipment Coordinator Report - Helena Currette – not present

•       Equipment return:  Saturday 10 – 12 PM and Sunday 2 – 3 PM

 

Match and Event Coordinator Report – Sharon Woodford

•       Some teams are still practicing to prepare for jamborees in November and December.  

•       Sent email to teams that may need practice fields.

•       Coaches must inform a board member if they decide not to play their scheduled game. A referee was scheduled for a game and the coaches didn’t notify anyone so the referee sat around waiting. 

•       Coaches can only cancel games for serious emergencies or severe weather conditions (lightning and/or thunder). 

 

Web Master Report – Sharon Woodford

•       Team pictures have been updated on the website. www.federalwaysoccer.com

•       Waiting for information from committees to update the website.  

 

Old Business

 

Registration Committee

•       Next meeting November 19 at 7:00 PM

•       Will discuss promoting mod soccer, money collection and registration

•       Winter Soccerfest in January for U10 players

•       Discussed U10 Spring League

•       Glen Cote volunteered to be on the committee.  

 

Fundraiser Report – Candy Sale

•       All money in except for 4 players

 

Transition of U10 teams from Mod to FWU

•       Will email families about the transition

•       There is a transition committee – Heather Hamashima, Rob Walker, Cory Zimmer, Jammie Hair, and Novella Fraser.  Eric Poortvliet may be interested in joining the committee.

New Business

 

Sportsmanship Award – September

•       Gary Haven’s GU10 Thunder

 

Of the Year Awards

•       Will discuss in December

 

Parent Suggestions/Concerns

•       Uniforms – other clubs charge $25.00 deposit for uniforms.  Parents write a check to the club and at the end of the season the club returns the parent’s check if they return the uniform.  If the uniform is not returned, the check is then deposited into the club bank account.  This information should also be included on our website if approved by the board.

•       Registration Form – ask what team did you play for last year and do you want to return to that team.

•       Have an evaluation form online that rates coaches, sidelines, players etc. from 1 – 5.  The evaluation form should be password protected.
