AGM Minutes

February 11th 2008

 

The meeting of the Federal Way Modified Soccer Club was called to order by President Heather Hamashima at 7:11pm on Monday, February 11th at the Federal Way Regional Library.

 

A Quorum was achieved.  (A Quorum of the club shall consist of 6 (six) board members with at least 3 (three) of them being elected officers.)

 

2007 AGM minutes were approved.

PRESIDENT’S REPORT – Heather Hamashima

  • Since October, people have been working really hard.  Great job!
  • She has been enjoying putting together the coaches notebooks.

VICE-PRESIDENT’S REPORT – Cory Zimmer-

  • Discussed different clinics that he would like to see.
  • Discussed having the first transition meeting from U10 to U11.
  • Discussed spring season.  We want not just the kids to learn, but also have it be a learning opportunity for the coaches.
  • He is having discussions with Rob Walker, FWU Director of Coaching, on different ways to have him more involved with Mod.

SECRETARY – Yvette Gregg

  • Nothing to report

TREASURER – Sandy Bjork

  • She is concerned about the player fees.  We need to raise them back to what they were.
  • The Association is going to ask us to contribute to Saghalie field. 

BOYS REGISTRAR – Novella Fraser

  • Nothing to report.  She indicated that it has been a good year.

GIRLS REGISTRAR- Open Position

2nd VICE PRESIDENT OF ADMINISTRATION – Cory Zimmer

  • Nothing to report

REFEREE COORDINATOR – Judy Simone Johnson

  • She is not going to resign but will continue in this position.

FIELDS COORDINATOR- Eric Poortvliet-not present

  • This was a real learning year.
  • He got new locks for Camelot.
  • He wants to get new nets for U9/U10 next year.

EQUIPMENT COORDINATOR- Bob Gonzalez and Tracy Shown-not present

  • Fall season went very smoothly.
  • They think there are sufficient uniforms for the next couple of years.
  • For spring, we will use the free t-shirts and pennies instead of passing out equipment again.

MATCH AND EVENT COORDINATOR & WEBMASTER: Sharon Woodford

  • I was recruited in September to developed and maintain the Mod Club fall league schedules as well as practice schedules for the 2007 year due to the unexpected illness of the appointed Match & Events Coordinator.  I also developed the 2007 Tracy Whitney Jamboree schedule.  I have coordinated with the Fields Coordinators for both our Club and Federal Way United to obtain practice and game fields.

  • 2007 Spring League:

Teams: We had 39 teams which is 5 fewer teams than in 2006 and 11 fewer teams than in 2005.

Fields: We ran four U7-U10 fields simultaneously at Sacajawea and Decatur using football lines & cones.

Future: This year Spring will be very different being player based, not team based.

  • 2007 Tracy Whitney Report:

Teams: We had 89 teams, 2 more teams than in 2006 but 25 fewer teams than in 2005.

Fields: This year we again used Saghalie Middle School which worked great.

Finances: This year we made $10, 230.34 and had $5203.08 in expenses for a profit of $5,027.37.

Vendors: We had Wilsons sell t-shirts and that went very well.  We would like to use Wilsons again next year.  The Alonzo’s sold concessions again this year but due to the weather they had very poor sales.  They have stated that they can not afford to sell at the Tracy Whitney next year.

Future: Should we have concessions?  2008 dates are September 27th & 28th for U9/U10 and October 4th & 5th for U6-U8.  The turf field at Saghalie will be completed so we will have a really nice complex to run the Jamboree and could host more teams if we can attract them.

  • Plans for 2007:

I have resigned as the Federal Way United (FWU) Soccer Club Girl’s Coordinator so I can have more time to devote to the Mod Club.  I would like to continue on as Match & Events Coordinator and Tracy Whitney Jamboree Director if the Club will allow.  I am also the FWSA Webmaster, State Cup Rep, and  Blast Off Co-Tournament Director.

Motion to pass bylaw amendments as written. Motion seconded. Motion passes.

  • Mod Budget to be brought up at March meeting for final approval.
  • Proposed Budget-
    • U7-U10-$65 plus participate in fundraiser or $30 buyout of fundraiser
    • Or, instead of fundraiser, we can raise fees more and not fully give coaches, board members and scholarship kids free registration.  Give them a discounted rate instead.
    • We lost $13,000 in player fees because of leaving out fundraiser and not raising fees enough. 

GOOD OF THE GAME:

  • Ken will try to get sponsors and banners for Tracy Whitney
  • Soccer Palooza will be on April 26th.  Mr. Woo will be there.
  • Think about Of the Year awards.
