Soccer Photography Presentation – Alvin Leung

•       Meeting location didn’t have the equipment needed to do the presentation.  Mr. Leung will try to be at the September 8 meeting.

•       No minutes

 

Quorum

•       Achieved. (A quorum of the club shall consist of 6 (six) board members with at least 3 (three) of them being elected officers.)

President’s Report – Heather Hamashima

•       New Girls Registrar Michelle Magruder was approved via email vote by the Board in July.   

•       Dena Ochs – GU10 resigned.  We thank her very much for her hard work and commitment to the players.

•       The board has been very busy this year. Registration has taken an extensive amount of time.

•       Coaches are encouraged to have a team manager or parent help with paperwork, team pictures and the candy fundraiser.

 

Treasurer Report – Sandy Bjork

•       Still collecting fall registration money

•       Received a Bonzi bill from the Association. Three Boards split the bill in thirds.

 

Boy’s Registrar Report – Novella Fraser

•       Compared Fall registration numbers for 2007 & 2008.  We are down approximately 90 players as of 8/11/08

•       Fall 2007 = 711

•       Fall 2008 = 621

•       Washington Youth Soccer Association will no longer require that the clubs collect birth certificates.  We will look at the birth certificates and give back to the parents.  The birth certificates we have now will be shredded and all information in our personal computers about players’ birthdates should be deleted. 

 

Referee Coordinator – Judy Simone-Johnson

•       No report

 

Fields Coordinator – Eric Poortvliet

•       New nets for U10 fields

•       Planned to order U9 nets for Lake Grove

•       When 2 teams want to maintain the same field we need to come up with a process to select which team will maintain the field.  We have not had this problem in the past.

 

Old Business

 

Spring into Soccer Update – Heather Hamashima

•       Used a different format this year. 5 weeks of training and 3 weeks of games. Rob Walker and staff ran the Spring Soccer session.

•       Needed more coaches involved to work with the players.

•       Took a lot of time to form the teams and it didn’t always work.

•       Feedback – we are open to suggestions.

1.      Sign up kids at the end of the spring session for Fall soccer.

2.      Post notices/flyers at the schools for Fall and Spring soccer.

3.      Change last 3 weeks to more of a world cup training format.

4.      Problem with U6 players playing with U7 players and not able to touch the ball in games & practice.

5.      Need more directional signs at the field for teams, games, sessions, etc.

6.      Players need to arrive earlier because they were arriving when the games started.

7.      Players not showing up every week.

8.      More players were able to get involved even though they never played before.

           

Summer soccer camp – Heather Hamashima

•       Ran by Rob Walker and staff.

•       Went very well and a big surge of registration at the end so it was hard to judge how many staff were needed and how many tee shirts to order.

•       55-60 players attended and played on the field at one time.

•       Would like to do it again and have more kids attend.  

 

New Business

 

Appointment of Equipment Coordinator – Heather Hamashima

•       Appointed Helena Curette

•       Sharon Woodford gave Helena names of people that will assist.

•       Need more uniforms (youth med, youth large and adult small)

•       Heather spoke with a business in Federal Way that would like our uniform business. They can also set up an online registration to order uniforms in the future if it’s desired.

•       Sandy Bjork (treasurer) will provide Helena with receipts for last year to assist with ordering this year.

Uniform & Sponsorship Request

•       Bill Richardson – GU9 Silver Seals sent Heather an e-mail to request approval of new uniforms and he is also looking for sponsors such as Red Robin and FedEx.  

•       Eric Poortvliet made a motion that the GU9 Silver Seals will be allowed to purchase uniforms that adhere to the club colors of red, blue, black and white.  Motion was seconded by Sharon Woodford.  Motion was voted on and passed.

•       Eric Poortvliet made a motion to approve the GU9 Silver Seals logo with Silver Seals replaced with the Federal Way soccer logo and that the letters be replaced with a soccer ball. Motion was seconded by Sharon Woodford.  Motion was voted on and passed.

 

Registration Numbers

•       Registration numbers are down from 2007.

•       Some of the BU9 & BU10 players are now in the United Development League which contributed slightly to our numbers being down.

•       Consider extending the U6 registration deadline past August 1.

•       Increase information about the club, encourage kids to play, and offer scholarships to cover registration fees.

 

Registration Committee Formation

•       Form a committee to look at our registration process and how to make it easier for everyone involved.

•       Volunteers for the committee:  Heather Hamashima, Novella Fraser, Jen Gallagher, Shannon Qualls, and Kimberly Miller-Olson.  We will meet in September 2008. If you would like to be on the committee call or e-mail Heather Hamashima.

•       Suggestions to increase players

1.      Have flyers at kindergarten registration in the spring

2.      Have flyers at grocery stores or have someone set up a booth outside to register kids for soccer.

3.      Email all players in the winter about registration and also get the coaches involved.

4.      Email parents asking for help to distribute flyers to all schools.  Parents will volunteer if asked.

 

Vice President Report – Cory Zimmer

•       Host another U10 coach module in September.

•       U6 coaches need referee training so that they can referee the U6 games

•       New coaches meeting at the end of the month or beginning of September

 

2nd Vice President of Administration Report – Cory Zimmer

•       No report

 

Match and Event Coordinator Report – Sharon Woodford

•       Started to work on the Fall Mod game schedule this week. Will have the game schedules complete by August 22.

•       Will send an e-mail to all coaches for special request.

•       After schedules are completed they will not be changed.

 

Webmaster Report – Sharon Woodford

•       Mod website needs to be updated.

•       Team pictures are from last year.

 

Fields Report

•       No practicing on fields before August 1 unless you are a U9 or U10 that may be practicing to participate in a Jamboree or Tournament. 

•       Sharon will assign all fields.  Do not practice until you have been assigned a field.

 

Good of the Game

 

Tracy Whitney Jamboree Report – Sharon Woodford

•       Happens every year but not a money maker. Made approx $4,000 last year.

•       Most age groups will play 3 games.  No scores kept.

•       All players participating will receive a medal.

•       Not a lot of teams outside the Federal Way Mod Club will participate.  All mod teams will have a bye this week. Registration deadline is September 1 for U9 & U10 teams, deadline is September 12th for U6 – U8 teams.

•       All games will be played at Saghalie Middle School.  All fields will be used and will possibly use the new field but will depend on the United schedule.  No chairs or drinks are allowed on the new field.

•       Sharon submitted an ad to the Washington State Youth Association newspaper for the Tracy Whitney Jamboree to encourage other clubs to participate.

 

Team Pictures – Kimberly Miller-Olson

•       Team photos are scheduled for September 13th and 20th

•       Will assign each team a time.

 

Fall Fundraiser – Sharon Woodford

•       Last year we didn’t have a fundraiser and the budget was tight.

•       Players participating will have to sell at least 1 box of candy (50 bars)

•       Need volunteers to help with the fundraiser

•       Will distribute boxes of candy when photos are being taken and will collect the money at the Tracy Whitney Jamboree.

•       Put a parent on your team in charge of distributing the candy bars and collecting the money.

 

Additional items discussed

•       Teams can have fundraisers to raise money for uniforms.  The money raised must be given to the club’s treasurer to deposit into the club account.  No club money shall be deposited into a personal account.

•       The board must approve all team uniforms before the uniform is purchased.  If you purchase the uniform from Score or Pro-Time they have the Federal Way Mod soccer logo to put on uniforms purchased.
