BOARD MEETING MINUTES

September 10, 2007

 

The meeting of the Federal Way Modified Soccer Club was called to order by Secretary Yvette Gregg at 7:30 on Monday September 10th at Round Table Pizza in Federal Way.

 

The Attendees included:

Coaches: 17 coaches

A Quorum was achieved.  (A Quorum of the club shall consist of 6 (six) board members with at least 3 (three) of them being elected officers.)

 

May, July, and August minutes were approved.

PRESIDENT’S REPORT – Stephanie Knapp

  • The majority of papers and money are in for fall.
  • She is working with Cory to get programs for kids/coaches
  • Mentioned that we have many open positions.

 

VICE-PRESIDENT’S REPORT – Mary Ward-not present

 

SECRETARY – Yvette Gregg

  • Nothing to report

TREASURER – Kathy Barnes-

  • Has to pay WA fees tomorrow.  Our balance is $87,977.58.
  • We will be paying a portion of the turf at Saghalie, but are unsure of the % yet.
  • We paid for most the equipment that Bob ordered

BOYS REGISTRAR – Novella Fraser

  • We have 68 teams so far (not including U6) with a total of 687 players registered.
  • Wanted to let everyone know that the $ goes to Kathy, not to Novella

GIRLS REGISTRAR- open position

 

2nd VICE PRESIDENT OF ADMINISTRATION – Cory Zimmer

  • Discussed the need for more volunteers as the complaints that he’s gotten are because of lack of help and the volunteers that we have are stretched too thin.
  • Discussed the ideas for Rob to help in mod. 
    • Clinics are being put together.  Handbooks for age groups are being put together. 
    • U6 coaches and new coaches clinic will be held in September
    • Discussed U8-U10 age group training

REFEREE COORDINATOR – Judy Simone Johnson

  • Some games will not have referees so coaches need to bring a whistle just in case.
  • Reminder to fill out evaluation form for referees-do not talk to them directly
  • Discussed the referee clinic
  • Talked about reimbursing people if they pass the clinic, which is what United does.

 

FIELDS COORDINATOR- Eric Poortvliet

  • Reminder to pick up trash after games.
  • Discuss that Lake Geneva was being trashed.  Also found out that a high school team was using it so Sharon will check on that.
  • Discussed ordering more paint

 

EQUIPMENT COORDINATOR – Girls-open position

 

EQUIPMENT COORDINATOR- Boys- Bob Gonzalez

  • .135 kids registered for U6. 
  • Ordered lots of uniforms for U6 because we didn’t expect that many
  • We have a bunch of old soccer balls.  Discussed different options of what to do with them.
  • We will take a uniform count at the end of the season to see if we need to order more of the larger size.

MATCH AND EVENT COORDINATOR:  Kristina Okezie-not present

Kristina has been very ill so Sharon volunteered to do both the league and practice schedules.  The league schedules for all ages are posted on the website.  She hopes to have the rest of the fall schedules finished next week.

 

Tracy Whitney Jamboree

Concessions: The Alonzo’s will be providing concessions again this year.

Medals & T-Shirts: Alexandra's Printing was not able to support our event this year so Wilson’s Trophies will be our t-shirt vendor as well as providing the custom medals for all the players.  Sharon showed everyone this year’s Jamboree logo.

Team Count: U9/U10 Weekend (September 29th & 30th)

            GU9: 11 teams; 4 teams outside of Federal Way

            BU9: 10 teams; 1 team outside of Federal Way

            GU10: 10 teams; 2 teams outside of Federal Way

            BU10: 9 teams; 2 teams outside of Federal Way

            Total: 40 teams; 1 fewer team than last year.

Note: Sharon will send an e-mail to the U6-U8 teams tonight reminding them of the September 22nd registration deadline.

Concessions: The Alonzo’s will be providing concessions again this year.

Schedules: Sharon is currently working on the schedules and should have them posted before the 16th.

Volunteers: Sharon has had several people already volunteer to help with this even; Thank You.  She will post a signup on the website after the schedules are completed.  She will need help with the following duties:

  • Lining the fields during the day, both Fridays (September 28th & October 5th) before the Jamborees.
  • Help with setting up the fields and taking down the fields each day.
  • Field Marshals/Registration Desk.
  • Overnight Security so none of our goals get damaged or walk away.

 

WEBMASTER – Sharon Woodford

Sharon will get all the teams updated on the website after she completes the schedules.

GOOD OF THE GAME:

Sharon watched several U8 games this weekend as her daughter refereed some games and she was happy to report that she did not see one coach or parent get out of line and not one dog at the field.  It was a very enjoyable day.  She had a few reminders for the coaches:

  1. Read and print a copy of your age appropriate rules found on the website under “About FWSA”, “Mod Club”, “Bylaws & Policies” and carry them with you to the games.
  2. If no referee shows up to your game, both teams must agree upon someone, coach, parent etc. to referee the game.  Often times each team will be responsible for one half of the game.  We only provide referees for U6 games at the Tracy Whitney Jamboree.
  3. It shows good sportsmanship if you train your players to not only greet the opposing team after the game (hand slaps) but to also go up to the referee and thank them with a handshake or “high 5”.
  4. Ask – and receive permission – from the referee before making player substitutions.
  5. No standing or coaching behind the goal.  Spectators and players not on the field of play must remain two (2) yards behind the touchline and not within the distance of the goal/penalty area.
  6. Jewelry and hair pieces that can harm the player or an opponent are not allowed. In general, certain items are not allowed to be worn, like casts, splints/braces, rings, necklaces, bracelets, earrings, hard-billed hats, and other articles of clothing deemed to be hazardous by the referee.  Girl’s coaches, please ask your parents to please not get their daughter’s ears pierced during soccer season.  They will have to remove their earrings if they want to play in the game.
  7. The offside rule is not enforced except at U10.  However, players cherry picking or standing in front of the opponent goal will be called offside.
  8. No slide tackling is allowed at any age in the Mod Club.
  9. Goalies can not drop kick the ball until age U9.

 

·        Board members only-We had 8 requests for scholarships which we voted yes for all.

                        Discussed having a form to fill out starting in spring to get more                                      information from the people requesting scholarships. 

·        Also discussed doing away with the non Federal Way tourney refund.
