FEBRUARY 13, 2005

 

The Annual General Meeting (AGM) of the Federal Way Modified Soccer Club was called to order by President Heather Hamashima at 6:45 p.m. on Monday, February 13, 2006, at Federal Way Regional Library

A quorum of 21 was achieved. (A quorum of the Club shall consist of six (6) Board members, with at least three (3) of them being elected officers.)

Approval of Minutes:

Meeting minutes from the Federal Way Mod Soccer Club 2005 AGM held on February 14, 2005 were approved.

 

Officer’s Reports (Year-End Reports)

            President’s Report: Heather Hamashima

Thank you to everyone who turned out for tonight’s meeting.  Thank you, too to all coaches, parents, and volunteers – we couldn’t do it without you!

 

We had some new items this year – On-line Registration & Silent Saturday being the 2 main things.

This years’ goals were: 

Better marketing for the Mod club.

Improve dissemination of information to families and public.

Increase coach attendance at Clinics

Increase number of people that take the referee class.

 

Vice President’s report: Mary Ward by report

I accepted the VP position in September.  In that capacity I have attended all FWSA meeting that have occurred since that time.

 

Additional duties that I have undertaken during the year:

Mod picture coordinator: As picture coordinator, I scheduled all mod teams for pictures.  All teams except for one participated in pictures.  A refund check of $600+ was received for pictures this year. 

Fundraiser money collector: I assisted Heather in following up on the fund raiser money collection.  All funds due were collected.

 

I am willing to continue as VP of the mod club.

 

Secretary’s report: Sam Rengstorff

Treasurer’s Report: Sandy Bjork by Report

There are some items coming up from the budget for next year – possibly a portion of the Coaching Director & Saghalie’s Turf.

 

The proposed budget will be brought to club for approval at the March meeting.

 

Registrar I (Girls) Report: Tricia Arroyo:

1)       Need player registration forms for those that don’t have computers – people could possibly register over the phone, etc.

2)       This fall, would like complete birth certificates for every player.  (There was discussion about birth certificates at this point)

 

Registrar II (Boy’s) Report: Cheryl Guthrie

This year we had 55 boy’s teams, broken down in the following age groups:

BU6                              8 Teams                        47 Players

BU7                              12 Teams                      99 Players

BU8                              13 Teams                      90 Players

BU9                              10 Teams                      90 Players

Total 407 Boy Players

 

This year, again showing a decline in players and teams.

 

The new registration system took a while to get used to, but once I figured it out, it was very easy to us.

 

2nd VP of Administration Report: Open Position, Heather Hamashima reporting

Most of the issues were conduct – sideline challenges, or coaches getting on refs.  All were easily resolved.

 

There was 1 hearing for team payment, which was taken care of.

 

Altogether not many problems with league or fundraising fees – minor items.

 

 

Referee Coordinator Report: Judy Simone-Johnson, by report

            Total mod games for 2005 = 753.

Number of games with referees=741

This equates to 98% coverage for the year - including spring, Tracy Whitney, fall.

 

FWSRA held two outdoor trainings specifically designed to assist in the development of our MOD soccer referees.   Anticipate the same this year, as well as adding a referee clinic geared toward the younger individual—a 9-hour class, 50-question test; instead of an 18-hour class, 100-question test.

 

Just as coaches and parents are able to evaluate the referee, referees are now required to evaluate the both teams’ coaches, sidelines and players.  It is included in the match report process that every referee must file after his or her game.

This process has already begun at the United level and will start at Mod beginning this spring.

 

This year we had a record number of referee evaluations and they are appreciated!!  I rely on your comments and share them with each referee. 

 

Fields Coordinator: Neil Goldingay

This is Neil’s 4th year as Fields Coordinator; it was a good year.  His ultimate goal is to have dedicated fields for the goals.

 

Equipment Coordinator Report: Bob Gonzalez

Bob ended up taking responsibility for both boys & girls, with Stephanie working with him.  There was an order put in for some new equipment.  Thanks to everyone who stepped up during the summer and helped.

 

 

Ways and Means Report: Jodie Wilde (Not Present)

We need someone to step up by April, to get this rolling for next fall.  This is a good opportunity for people who can’t otherwise afford to pay for their soccer. It’s only about a 6-week commitment.    A suggestion from the group was that dates & times for turn in be set before the fundraiser actually starts.

           

 

Match and Events Coordinator Report: Sharon Woodford

           

I have developed and maintained the Mod Club spring and fall league schedules as well as practice schedules for the 2005 year.  I also developed the 2005 Tracy Whitney Jamboree schedule.  I have coordinated with the Fields Coordinators for both our Club and Federal Way United to obtain practice and game fields.

2005 Spring League

Teams: We had 50 teams, which is 5 more than in 2004.

Fields: We ran four U7-U10 fields simultaneously at Sacajawea and Decatur using the football lines and cones.  We ran one U10 field at Lake Geneva.

 

2005 Tracy Whitney Report

Teams: We had 114 teams, 13 more teams than in 2004 with 23 teams from outside of Federal Way.

Fields: This year we again used Saghalie Middle School, which worked great.

Volunteers: This year we had more volunteers help out, which was crucial.  To make this Jamboree successful we need the volunteers to work concessions, registration desk, field setup, not to mention all the behind scenes such as schedules, medals, vendors, etc.  Thank you to everyone who helped.

    4 Collect from all Coaches, Assistant coaches and team Managers, all proper paper work such as, Coaches application, Washington State Youth Soccer Association Volunteer form, Washington State Patrol form, in addition to any other form the FWSA or WSYSA may later require, and timely return them to the Club Risk Manager;

    5. Seek and promote coaches clinics;

    6. Address Coaches’ issues with respect to parents, players, referees or Board members; and

    7. Set up and maintain a file on all club coaches, their training records, each year’s team assignment, accomplishments, violations or disciplinary actions taken against.  (This last file will be a confidential file, only available to the Club and Association Judicial Chairs.)

 

F. GIRLS COORDINATOR

    1. Attend all club monthly meetings;

    2. Submit a report on his/her activities at each meeting;

    3. Notify all girls team coaches of all meetings and activities;

    4. Help fill all Coach vacancies and make public notice of such need;

    5. Assist club Registrar as needed in placement of girls to teams;

    6. Assist club Registrar in pre-registering existing teams from previous season and collecting copies of certified birth certificates or other WSYSA approved documents for all girls registered within the club; and

    7. Submit to the Club Match and Event Coordinator, a list of all teams registered for a current season schedule.

 

G. BOYS COORDINATOR

    1. Attend all Club monthly meetings;

    2. Submit a report on his/her activities at each meeting;

    3. Notify all boys team coaches of all meetings and activities;

    4. Help fill all coaches vacancies and make public notice of such need;

    5. Coordinate placement of registered boys to teams;

    6. Assist Club Registrar in pre-registering existing teams from previous season and collecting copies of certified birth certificates or other WSYSA approved documents for all boys registered within the club; and

   7. Submit to the Club Match and Event Coordinator, a list of all teams registered for a current season schedule.

    10. Submit team assignment sheets to coaches of all girl teams.

     1. Attend all Club monthly meetings;

     2. Submit a report on his/ her activities at each meeting;

     3. Coordinate Annual Player registration;

     4. Verify age of all players registered in the Club by having on file a copy of each child's certified birth certificate or other WSYSA approved document;

     5. Maintain an up to date file on all boy players, their teams and coaches;

     6. Handle all boy player transfers to and from teams, and to and from clubs and Associations;

     7. Maintain and provide up to date rosters of each boy team registered in the Club; 

     8. Establish a deadline date for the registration and submit to the Secretary for the Annual calendar;

            The SAM/BONZI registration and the coordinator processes have begun to overlap with most of the duties being performed by the coordinators.
